We process personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation, “GDPR”) and applicable national law.
2. Scope
This policy explains how we handle personal data collected through certificate-assist.ie, including data you submit when requesting our assistance with an Irish civil certificate application.
3. Personal data we collect
Data you provide
- Identification and contact details: name, email address, telephone number, postal address;
- Details of the record requested: names, dates and places of birth, marriage or death, and the relationship of the applicant to the person named on the record;
- Any supporting information or documents you choose to send us;
- Correspondence with our support team.
Payment card details are entered directly with our payment provider and are not stored by us. We receive only the transaction result and a masked reference.
Technical data
- IP address, browser type and device information;
- Pages visited and interaction data, where you have consented to analytics cookies.
4. Why we process your data, and on what legal basis
- To provide the service you ordered: preparing, reviewing and submitting your certificate request, and communicating with you about it. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).
- To meet our legal obligations: accounting, tax and record-keeping. Legal basis: legal obligation (Art. 6(1)(c) GDPR).
- To keep the Website secure and functioning, and to prevent fraud and abuse. Legal basis: our legitimate interests (Art. 6(1)(f) GDPR).
- Analytics and non-essential cookies. Legal basis: your consent (Art. 6(1)(a) GDPR), which you may withdraw at any time.
Some of the information you provide, for example details relating to a deceased person or information contained in a civil record, may be sensitive in nature. We collect only what is necessary to submit the request you have asked us to make.
5. Who we share data with
- The General Register Office (GRO) of Ireland and the HSE, to the extent necessary to submit your request. This is the core purpose of the service.
- Service providers acting on our behalf (processors): our hosting provider, email provider and payment provider. They act only on our instructions and under a data processing agreement.
- Public authorities, where disclosure is required by law.
We do not sell or rent personal data to third parties.
6. International transfers
Your data is processed within the European Economic Area. Where a provider processes data outside the EEA, we rely on an adequacy decision of the European Commission or on Standard Contractual Clauses together with any additional safeguards required.
7. How long we keep it
We keep application data for as long as needed to deliver the service and handle any follow-up, and thereafter for the period required by accounting and tax law. Data no longer needed is deleted or anonymised. Contact enquiries that do not lead to an order are deleted within 12 months.
8. Security
We apply appropriate technical and organisational measures, including encrypted connections (TLS), access controls and restricted staff access, to protect personal data against unauthorised access, loss or disclosure.
9. Your rights
Under the GDPR you have the right to request access to your personal data, and its rectification or erasure; to request restriction of processing; to object to processing based on our legitimate interests; to data portability; and to withdraw consent at any time, without affecting processing carried out before withdrawal.
To exercise these rights, contact privacy@certificate-assist.ie. We respond within one month.
You also have the right to lodge a complaint with a supervisory authority. Our lead supervisory authority is the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, aki.ee). If you live in Ireland, you may instead complain to the Data Protection Commission (dataprotection.ie), or to the authority in your own country of residence.
10. Cookies
We use cookies that are strictly necessary for the Website to function. Analytics and other non-essential cookies are set only with your consent, which you can give or withdraw through the cookie banner.
11. Children
Our service is intended for adults. We do not knowingly collect data directly from children. A parent or guardian may of course apply for a child’s certificate and provide that child’s details.
12. Changes to this policy
We may update this policy from time to time. The version published on this page, with its “last updated” date, is the one in force.
